Terms and Conditions

1. Service Provider Details

These Terms and Conditions (hereinafter: Terms) govern the use of the PRAXINGO platform. The service is operated by the following company:

2. The Service

PRAXINGO is a cloud-based practice management platform for therapists, psychologists, and counselors. The service includes the following main features:

• Client records and management
• Appointment scheduling and calendar synchronization
• Therapy note-taking and documentation
• Invoicing integration (Billingo, Számlázz.hu)
• End-to-end encryption (E2EE) for sensitive data
• Data export and archiving

3. Registration and Account

Registration is required to use the service. During registration, the user provides their name, email address, and creates a password for their account. The user is responsible for:

• keeping their login credentials confidential;
• securely storing their encryption password;
• securely storing their recovery key;
• all activities performed in their account.

The user may optionally set up biometric unlock (face recognition, fingerprint) for faster access. Biometric unlock does not replace the encryption password or the recovery key.

5. Subscription and Payment

The service is available on a subscription basis. Current subscription plans and pricing can be found on the Pricing page. The user may take advantage of a trial period, the duration of which depends on the current offer.

The subscription automatically renews at the end of the chosen billing cycle (monthly or annual), unless the user cancels before the end of the cycle. Cancellation takes effect at the end of the billing cycle; the fee for the remaining period is not refunded.

6. User Obligations

The user (therapist, psychologist, counselor) is considered an independent data controller with respect to the client data they process, under the GDPR and the Hungarian Health Care Act (Act CLIV of 1997). Accordingly, the user is responsible for:

• providing clients with appropriate data processing information and obtaining the necessary consents;
• complying with legal obligations related to health data processing;
• the lawfulness of data uploaded to the platform;
• preparing and issuing their own client data processing notices.

7. Data Processor Role

WebSoft Tecnologies Hungary Kft. acts as a data processor with respect to the client data of the user (therapist) under GDPR Article 28. Data processing is carried out solely to the extent and for the purpose necessary for providing the service. As a data processor, WebSoft Tecnologies Hungary Kft.:

• processes personal data only based on the user's documented instructions;
• ensures that persons authorized to process data have committed to confidentiality;
• implements the security measures required under GDPR Article 32;
• due to the application of end-to-end encryption, does not actually have access to the content of client data.

8. Limitation of Liability

WebSoft Tecnologies Hungary Kft. makes every effort to ensure the continuous and secure availability of the service; however, it accepts no liability for damages arising from the following:

• force majeure events (natural disasters, war, pandemic, governmental measures);
• loss of the user's encryption password or recovery key, rendering data unrecoverable;
• data breaches resulting from the compromise of the user's device;
• issues arising from disruptions in third-party services (Billingo, Számlázz.hu, Google Calendar);
• temporary service outages due to scheduled or unscheduled maintenance;
• legal consequences arising from data unlawfully processed by the user.

9. Service Termination

The user may request the deletion of their account at any time. Within 30 days of initiating account deletion, the user has the opportunity to export their data. After the 30-day grace period, all data associated with the user — including encrypted client data — will be permanently and irreversibly deleted.

WebSoft Tecnologies Hungary Kft. reserves the right to suspend or terminate an account in the event of a serious breach of these Terms, following prior notice.

10. Governing Law

These Terms are governed by Hungarian law. In case of disputes, the parties shall first attempt to resolve matters through negotiation. If negotiation fails, the parties submit to the exclusive jurisdiction of the Budapest Court of Justice (Budapesti Törvényszék) or, depending on the matter, the competent Budapest court.
